Chair checklist during a breakout session

Key Reminders for the Chair

  • Find someone to take notes and watch the speaker queue. The scribe should (but is not required to) take minutes in the IRC channel named in your session description; see below.
  • Check audio to be sure remote participants can hear the room.
  • Ask participants to mute when not speaking.
  • Remind people that they are participating under the Code of Ethics and Professional Conduct and Antitrust and Competition Guidance.

Recording sessions

  • Ask the participants if anyone objects to recording. If anyone (in-person or remote) objects, do not record the presentation.
  • Only presentations should be recorded, not discussion.
  • Only record a presenter with their permission.
  • To record part of a session, use the recording facilities provided by Zoom, including automatic generation of captions.

If using IRC bots to manage the speaker queue and minutes

  • The W3C breakout planners intend to have scribe bots up and running at the start of your session.
  • Record names of participants (e.g., by having them "sign in" on IRC: present+ name_surname)
  • Save the minutes ("rrsagent, make minutes"). If your session is public, the minutes will be public. If your session is not public, the minutes will be W3C Member-only.
  • If using Zakim on IRC, end the meeting with "Zakim, end meeting".
